Intermediate Office Administrator

Location: Calgary , Alberta, Canada

Our client is currently seeking an Intermediate Office Administrator with experience in managing projects relate to administration and controls for the business. The suitable candidate will have experience managing account payable/receivable and payroll as well as strong MS Office suite skills. The candidate will also have a good working knowledge of processes, databases and document control practices, with a demonstrated capability to implement improvement projects in these areas. This position is well-suited to a motivated individual who is looking to bring their energy and engagement in order to gain business and leadership skills in a team environment.

Job responsibilities include but are not limited to:

  • Champion the company’s document control practices and provide leadership in this area
  • Process customer job tickets into invoices and send them to customers as per procedures
  • Process vendor/supplier invoices for cheque processing as per procedures
  • Clerical and Accounting support work as directed
  • Document processing work as directed
  • Participate in weekly meetings with senior management to review and plan work related to business operations.
  • Data entry and generation of reports with spreadsheets, database and other sources
  • Provide administrative support and assistance in matters related to IT administration
  • Provide assistance in maintaining and updating personnel records, safety statistics etc.
  • Other administration duties as required: Reception, Telephone support, General Office duties

The successful candidate will possess the following qualifications and behaviours:

  • Successful completion of a certificate, diploma, college or university degree in Business Administration and Accounting fields.
  • Experience with databases, report generation queries and records management.
  • Exposure and working knowledge of Document Control practices similar to those in ISO 9000 standards.
  • Experience with business process and related methods to create, communicate, and manage them.
  • Demonstrated ability to champion and implement improvement initiatives (e.g. implementing a document control system, a purchasing system etc) or work with a team on such projects at a high level of accountability
  • Ability to work effectively with teams and take leadership of them when appropriate
  • Able to multitask and prioritize work effectively.
